Tempo

Tempo is the time-tracking app in the CCI Suite. Technicians use it to log billable hours by client and service type, record expenses, estimate travel and save timesheets to SharePoint. This manual is for technicians who log their time with it every day.

Before you start

Pick your name in the tech selector. Every total and calculation in Tempo is scoped to the selected technician.

02Totals bar

A bar across the top of every view shows five running totals. They update every time you save or delete an entry.

TotalWhat it counts
TodayHours earned today (rounded, with after-hours multipliers applied)
This WeekHours earned Monday to Sunday of the current week (crosses month boundaries automatically)
MonthHours earned in the month you're viewing
BillableOn-site plus remote hours for the current month (billed to clients)
In-HouseInternal, non-billable hours for the current month
Tip

Check that the Billable and In-House split looks right before you save your timesheet to SharePoint.

03Daily banner

A banner below the totals bar shows time-tracking tips, motivational quotes and important reminders. When more than one message applies, the highest priority wins:

PriorityMessage
1. Daylight Saving TimeWarns about the upcoming clock change.
2. Special daysAcknowledges holidays and cultural observances, combined with a tip on the same line.
3. Timesheet reminderShown on Fridays, on the last two working days of the month, and on the 1st, prompting you to sync your timesheet.
4. Tips and quotesA rotating library of time-tracking tips and motivational messages when nothing else applies.

04Log Time tab (โœŽ)

The Log Time tab is where you record a new entry. It has two parts: a live timer and a manual entry form.

Using the timer

  1. Tap โ–ถ Start. The date jumps to today and the after-hours check runs straight away.
  2. Do the work. The timer keeps running if the page is reloaded or closed (for up to 12 hours), and a message shows when it started.
  3. Tap Stop. The elapsed time fills in Start Time and End Time.
  4. Review and adjust the form fields, then tap Save Entry.

The New Entry form

FieldHow to use it
ClientType to search, or scroll the dropdown. All clients are in one alphabetical list.
DepartmentAppears automatically for clients with more than one department or location.
DateDefaults to today. Change it for back-dated entries.
Start / End timeType the times or use the NOW button. Hours are calculated for you.
Service typeOn-Site, Remote or In-House. Sets the billing rate and how the entry is grouped on the timesheet. See Service types and billing.
Travel hoursRound-trip travel hours, shared between client billing and technician pay under your organization's travel rule. Use ๐Ÿ“ Estimate to calculate it from your saved home address.
After-hoursTick this only if the client approved after-hours work (evenings, weekends or holidays, as your organization defines them). After-hours entries use your organization's after-hours multiplier.
DescriptionA professional, client-facing note. Use โœจ Polish to have AI tidy your wording, or ๐Ÿค– Suggest to generate one from scratch.

Logging after-hours work

  1. Tick the After-hours box.
  2. An Approved by field appears. Enter who approved the work. You can't save the entry without it.
  3. Finish the rest of the form and tap Save Entry.
Tip

After-hours is judged in the client's local time zone, not yours. Tempo picks up each client's time zone from the client list automatically.

05Entries tab (๐Ÿ“‹)

The Entries tab shows every saved entry for the month you're viewing, grouped by date.

  • Use the month arrows (โ€น โ€บ) to view other months.
  • Click โœ Edit on an entry to change its client, times, description or service type. Changing the client recalculates the hours using that client's billing rules.
  • Click ๐Ÿ—‘ Delete to remove an entry. You'll be asked to confirm.
  • The stats row shows total entries, Pay Hrs and the on-site count. Pay Hrs is the figure you are paid on: your rounded labor hours plus your share of travel, calculated under your organization's pay rules.

Week Summary

Click ๐Ÿ“‹ Week Summary to see the current week at a glance: total hours, a pill for each day (a red โš  marks a workday with no entries) and hours by client. Click โœจ AI narrative for a short written summary. It's handy for Friday wrap-ups.

06Expenses tab (๐Ÿ’ณ)

Log reimbursable expenses (mileage, parts, supplies) separately from time entries. Expenses are included in the SharePoint timesheet export for billing review.

  • Each expense shows โœ… Receipt uploaded or โš  No receipt.
  • Use Replace to upload a different receipt.
  • Import from SharePoint on the Sync tab brings back expenses as well as time entries.

07Sync tab (๐Ÿ”„)

Save to SharePoint

  1. Open the Sync tab.
  2. Click โ˜ Save to SharePoint.
  3. Sign in with your Microsoft account when prompted (once per session). The current month's entries are saved as an XLSX file to your named folder on the team site.
Note

On desktop Chrome or Edge you can instead set up a local OneDrive-synced timesheet folder. Saves are then instant and don't need a sign-in.

Moving entries between devices

To move entries from your phone to your desktop, or the other way round:

  1. On the device that has the entries, tap Email Link. You'll get an email containing a sync link.
  2. Open that link on the other device. An import banner appears at the top.
  3. Tap Import. Entries are merged without overwriting any that are already there.

Import from SharePoint

Pulls a timesheet you saved earlier back into Tempo, for example after clearing your browser storage or switching devices. Duplicates are skipped automatically.

Client list

The client list loads from SharePoint when you sign in. Tempo then checks for changes every 15 minutes and downloads the list only when it has changed. To reload it immediately, tap ๐Ÿ”„ Refresh Client List from SharePoint.

My Timezone

Set your local time zone once. It's saved to your timesheet so invoice times can be converted to each client's time zone for accurate after-hours detection.

My Home Address

Save your home address (or use GPS) for automatic travel estimates. When you log on-site time, tap ๐Ÿ“ Estimate to calculate the round-trip drive time.

08AI features

FeatureWhat it does
โœจ PolishRewrites your description into clean, professional, client-facing language (1โ€“2 sentences).
๐Ÿค– SuggestWrites a description from scratch based on the selected client, service type and your recent entries.
๐Ÿ“‹ Week SummaryAn instant visual summary of this week. โœจ AI narrative adds a 3โ€“4 sentence written summary.
Anomaly nudgeA pop-up notice appears if a new entry's hours are unusually high or low compared with your recent pattern for that client.
Note

The AI features run through your organization's own server, so there is no key to set up. You just need to be signed in with your Microsoft account.

09Service types and billing

Service typeWhen to use itBilling
๐Ÿข On-SiteYou visit the client's location.Billed at your organization's on-site rate. After-hours multiplier applies.
๐Ÿ’ป RemoteWork done remotely.Billed at your organization's remote rate. After-hours multiplier applies.
๐Ÿ  In-HouseInternal admin, training or overhead. Not billed to clients. No multiplier.

Tempo rounds hours automatically, with separate rounding increments for billable (on-site and remote) and in-house entries, and splits round-trip travel between client billing and technician pay. The rates, rounding and travel rules are set by your organization, so check with your manager if a figure looks unexpected.

10Starting an entry from Orbit

Click the โฑ timer icon inside an Orbit ticket and Tempo opens in a new tab with these fields filled in:

  • Client: matched from the ticket's client field.
  • Date: today.
  • Duration hint: shown in a banner if Orbit had a logged duration.
  • Description: copied from the ticket's subject or description.

Review the fields, adjust the start and end times, and click Save Entry. If Tempo is already open, Orbit fills in that tab instead of opening another one.

11Frequently asked questions

My entries disappeared after I switched browsers

Entries are kept in your browser's local storage, which isn't shared between browsers or devices. Use Email Link on the Sync tab to move them, or save to SharePoint first and then use Import from SharePoint on the new browser.

A client is missing from the dropdown

The client list comes from the shared client list in SharePoint, and there is no option to type in a new client. Ask your administrator to add the client to the list, then tap ๐Ÿ”„ Refresh Client List from SharePoint on the Sync tab.

The totals bar shows 0h 00m for everything

Select your name in the tech selector first. All calculations are scoped to the selected technician.

Polish, Suggest or AI narrative says "Sign in first"

The AI features need your Microsoft sign-in. Sign in (Sync tab, Save to SharePoint) and try again.
